Summary of key points

This policy explains what personal information Scribe-X, LLC ("Scribe-X," "we," "us") collects when you use our websites, how we use and share it, how we protect it, and the choices and rights you have. We do not sell personal information, and we do not use personal information collected through our websites for advertising by third parties.

This policy covers our marketing websites: scribe-x.com and its subdomains, including careers.scribe-x.com and the campaign and event pages we publish. It does not govern the Clinical Intelligence Platform. A customer organization's use of the platform, and any patient information handled through it, is governed by the CIP Privacy Policy, the Data Handling and Security Schedule, the agreements and Business Associate Agreement executed with that organization, and the other documents in our legal document library.

Please do not submit protected health information or any other patient-identifiable information through this website. Patient information is handled only within the platform under an executed Business Associate Agreement.

1. What information do we collect?

Information you provide. We collect the personal information you choose to submit through our websites, such as your name, work email address, phone number, job title, organization, and anything you write to us. On this site, that happens when you complete the Documentation Health Score assessment, submit a solution-page or contact form, subscribe to our newsletter, download a gated white paper or guide, register for a webinar or event, schedule a meeting with us, or use the chat assistant. Your Documentation Health Score answers are used to calculate and deliver your result and to tailor our follow-up.

Career applications. careers.scribe-x.com describes open roles. Applications are sent by email to recruit@scribe-x.com, and the information you include is used to evaluate your application and to contact you about it.

Information collected automatically. When you visit our websites we and our service providers automatically collect log and usage data: IP address, approximate location derived from it, browser and device characteristics, operating system, referring pages, the pages you view, and timestamps. Some of this collection depends on your cookie choice, described in section 4.

Information from other sources. Where you have accepted analytics and marketing cookies, our company-identification provider (ZoomInfo) may match your visit to publicly available business information about your organization, such as its name, industry, and size. We use that to understand which kinds of organizations visit our site and to inform our sales outreach. We do not receive personal information about you from ZoomInfo through this website.

2. How do we use your information?

We use personal information to respond to your inquiries and requests, schedule and hold meetings you book with us, deliver your Documentation Health Score result, provide the content you download, register you for webinars and events, send you the newsletter and other marketing communications you can opt out of at any time, provide the chat assistant, secure and operate our websites, measure how our websites and marketing perform, and improve our websites and services.

We also use personal information to comply with law, to enforce our terms, and to protect Scribe-X, our customers, and the public.

3. When and with whom do we share your information?

Service providers. We share personal information with providers that process it on our behalf and only for the purposes above: HubSpot (our customer relationship management system, which stores form submissions, hosts our forms, meeting scheduler, newsletter, and chat assistant, and measures our marketing email), Google (Google Tag Manager, Google Analytics, and the Google Ads conversion tag), ZoomInfo (company identification, only with your consent), Meta (the conversion pixel on our event pages, only with your consent), and Cloudflare (website hosting, security, and performance). These providers are bound by contracts that limit their use of personal information to providing services to us.

Business transfers. We may share information in connection with a merger, financing, or sale of all or part of our business, subject to this policy.

Legal requirements. We may disclose information where required by law, subpoena, or legal process, or where we believe disclosure is necessary to protect rights, safety, or property.

We do not sell personal information, and we do not share personal information with third parties for their own marketing.

4. Cookies, tracking technologies, and your choices

When you first visit, a banner asks whether you accept cookies. Two kinds of technologies are in play.

Necessary and functional. These run without your consent because the site does not work without them: Cloudflare's security cookies, the setting that remembers your cookie choice (stored in your browser under "sx-consent"), the review or coming-soon passcodes on a few pre-release pages, and the functional cookies of the chat assistant so a conversation can continue across pages. The chat assistant does not set analytics or advertising cookies unless you accept them.

Analytics and marketing. These run only after you choose Accept: Google Analytics (through Google Tag Manager) to measure how the site is used, the Google Ads conversion tag to measure our advertising, HubSpot's tracking cookies to connect your visit to the forms you submit, ZoomInfo WebSights to identify the organization a visit comes from, and, on our webinar and event pages, the Meta pixel to measure event registrations. Before you accept, Google's tags run in a consent-denied state and store nothing, and the ZoomInfo and Meta tags do not load at all.

Declining changes nothing about what you can do on the site. Every form, download, scheduler, and the chat assistant still work. If you decline, a form you submit is not linked to your earlier browsing on our site.

Changing your mind. The "Cookie Settings" link in the footer of every page reopens the banner so you can change your choice at any time. Your choice on scribe-x.com carries to careers.scribe-x.com and back. You can also block or delete cookies in your browser, and you can opt out of Google Analytics with Google's browser add-on.

5. The Clinical Intelligence Platform

Our websites describe the Clinical Intelligence Platform, and this policy does not cover it. How the platform handles customer and patient information, including retention, security, and the use of information with automation and AI-enabled features, is stated in the CIP Privacy Policy, the Data Handling and Security Schedule, and the Responsible AI Use Policy. The Trust Center summarizes our security posture.

6. How long do we keep your information?

We keep personal information collected through our websites for as long as we need it for the purposes in this policy: while we are in contact with you or your organization about our services, and for as long afterward as the law requires or permits. Analytics data is retained according to the settings of the analytics provider. When we no longer need personal information we delete it, or, where deletion is not practical, we securely store it and isolate it from further use.

7. How do we keep your information safe?

Our websites are served over encrypted connections, hosted on infrastructure with access limited to the people who need it, and protected by Cloudflare's security services. The information you submit is stored by the service providers named above under their own security programs. No transmission over the internet and no storage system is completely secure, so we cannot guarantee absolute security.

8. Do we collect information from minors?

Our websites are intended for healthcare organizations and their staff. We do not knowingly collect personal information from, or market to, anyone under 18. If you believe a minor has provided us personal information, contact us at privacy@scribe-x.com and we will delete it.

9. What are your privacy rights?

Marketing. Every marketing email we send includes an unsubscribe link. You can also ask us to stop at privacy@scribe-x.com.

Cookies. Use the Cookie Settings link in the footer at any time.

Access, correction, and deletion. Depending on where you live, you may have the right to know whether we process your personal information, to access it, to correct inaccuracies, to have it deleted, to receive a copy of it, and to opt out of targeted advertising or profiling. We honor these requests for everyone who asks, whether or not a specific law applies. We will verify your identity before acting on a request and will not discriminate against you for making one. You may authorize an agent to submit a request for you, and you may appeal a decision by writing to the same address.

California residents may also request information about any disclosure of personal information to third parties for their direct marketing. We make no such disclosures.

10. Do Not Track

Our websites do not currently respond to "Do Not Track" browser signals. The cookie banner and the Cookie Settings link are the controls we honor.

11. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it last changed. If a change materially affects how we use personal information you have already given us, we will notify you by email or by a notice on this site before it takes effect.

12. How to contact us

For any question or request under this policy, write to privacy@scribe-x.com. We respond to rights requests within the time applicable law allows, and within 45 days where no law sets a shorter period.
