The Vancouver Clinic: from 20% missed shifts to 99% coverage
A 400-provider multispecialty group inherited a scribe program where a fifth of shifts went uncovered. Scribe-X rebuilt it: over 99% of shifts covered, after-hours charting eliminated, onboarding in weeks.

- Largest private, multispecialty clinic in Clark County, Washington, founded 1936
- 11 locations, 400 providers, 1,200 employees
- Scribe program spanning almost 80 providers at the time of the switch

The challenge
The Vancouver Clinic had run scribes for nearly a decade, but under its previous vendor the program was failing the providers it existed to help: on any given day up to 20% of scribe shifts went uncovered, and new providers routinely waited six months or more for support. A program meant to remove documentation burden had become its own source of unpredictability.

What Scribe-X put in place
Scribe-X took the program over and rebuilt it rather than renaming it. Every existing scribe was retrained and retested over up to eight weeks, schedules were built two to three months in advance, and the whole program moved to remote medical scribes, a transition that proved its worth when COVID-19 shutdowns began just weeks after the switch.

Scribe shift coverage
- Coverage reliability changed the provider experience: charts close in the visit, and the after-hours documentation burden was eliminated.
- New providers now join the program routinely and wait weeks rather than months for their scribe.
